This guide explains how to use the ClickShare CX-50 Gen2's "Flexible Meeting Room" feature to seamlessly switch a Logitech Rally Bar between its dedicated room conferencing mode (e.g., Teams Room/Zoom Room) and a BYOM (Bring Your Own Meeting) mode controlled by your laptop.

1. Overview and Prerequisites

The Flexible Meeting Room feature, also known as Appliance-BYOD switching, allows your Logitech Rally Bar (camera, mic, and speakers) to function as a USB peripheral for your connected laptop whenever a ClickShare meeting is started.

Component Minimum Requirement Notes
ClickShare Base Unit CX-50 2nd Generation Must be this model.
ClickShare Firmware Version 2.16 or higher Ensure the device is up to date.
Collaboration Bar Logitech Rally Bar (or Rally Bar Mini) Must be configured in Appliance Mode (e.g., MTR or Zoom Room).
Controller Logitech Tap or Tap IP Console Required for the crucial confirmation step during switching.

2. Physical Connection Setup (For IT/Admin)

The devices must be wired in a specific sequence to enable peripheral switching:

  1. Video Ingest: Connect the CX-50 Gen2 HDMI Out port to the Logitech Rally Bar HDMI In port.

  2. Peripheral Connection: Connect the CX-50 Gen2 USB-A port to the Logitech Rally Bar USB-C port (or the appropriate data port for a peripheral connection).

  3. Display: Connect the Logitech Rally Bar HDMI Out to the room display (Make sure only the primary screen is connected here).

3. ClickShare Configuration (WebUI Steps)

These steps are performed in the ClickShare Configurator (WebUI) to enable the switching feature:

Step 3.1: Configure Audio Output

  1. If any USB peripherals are currently connected to the CX-50 Gen2, unplug them temporarily.

  2. Log in to the ClickShare Configurator.

  3. Navigate to Display & Audio > Outputs.

  4. Select Enable audio.

  5. In the Audio output drop-down menu, select HDMI.

    • (Note: This setting ensures audio is routed correctly for Button-triggered presentations.)

  6. Re-plug any USB peripheral(s) that were previously disconnected back into the CX-50 Gen2.

Step 3.2: Enable Peripheral Switching

  1. In the ClickShare Configurator, navigate to Display & Audio > Peripherals.

  2. Select Enable peripheral switching.

  3. In the dropdown menu, select Collaboration Bar.

  4. Wait for the system to indicate it is ready.

Step 3.3: Disable Passcode (Recommended)

  1. Navigate to Security > Authentication.

  2. Ensure that the Passcode (PIN code) is disabled in the ClickShare Configurator. The passcode is generally not visible when the system is operating in Room System mode, which can prevent users from sharing.

4. End-User Guide: How to Start a BYOM Meeting

Once configured, the system manages the switch automatically, but a user confirmation is required for the Logitech Rally Bar.

The Switching Process

  1. Start the BYOM Session:

    • Plug a ClickShare Button into your laptop's USB port.

    • Launch a meeting client (e.g., Google Meet, Webex) on your laptop.

    • In the meeting client, ensure you select the "Room Camera" and "Echo Cancelling Speakerphone" (or similar room device names) as your audio/video devices.

  2. The Rally Bar Switch:

    • When your laptop's UC Client tries to access the Rally Bar's camera/mic, the ClickShare triggers the Rally Bar to switch from its native Appliance Mode (e.g., Teams/Zoom) to Device Mode (BYOD).

⚠️ CRITICAL STEP: Tap Console Confirmation

Because the Rally Bar is switching from a dedicated room application, it requires confirmation on the control panel:

  1. Look immediately at the Logitech Tap/Tap IP Controller screen.

  2. A prompt will appear asking you to confirm the switch to BYOD/Device Mode.

  3. You must tap to confirm the switch on the Tap console within ~20 seconds.

Once confirmed, your laptop will take control, and the Rally Bar's camera, microphone, and speakers will be available for your meeting.

5. Troubleshooting: Rally Bar Error Recovery

If you miss the 20-second window to confirm the switch on the Tap console, the CX-50 Gen2 may enter an error state. Use this procedure to restore the functionality:

  1. Disconnect: Unplug the ClickShare Button from your laptop.

  2. Reboot CX-50 Gen2: Disconnect the ClickShare CX-50 Gen2 power supply, wait a few seconds, and plug it back in.

  3. Reconnect and Confirm:

    • Reconnect the ClickShare Button to your laptop.

    • The confirmation prompt will reappear on the Logitech Tap console.

    • Tap “BYOD mode” immediately to accept the takeover.

The system will now be functional, and the Tap console will return to its idle page.
